Kairos ("we," "us," or "our") is a 501(c)(3) nonprofit organization. This Privacy Policy describes how we collect, use, and protect information in connection with our internal tools and third-party integrations, including our QuickBooks Online integration.

Through our internal accounting integration with QuickBooks Online, we access the following types of financial data from our own QuickBooks account:

• Transaction records (purchases, bills, invoices, payments)
• Customer/project records (used to track donors and grants)
• Account and vendor information

This integration is used solely for Kairos's own internal accounting and grant reporting purposes. We do not access, collect, or process financial data belonging to any third party.

2. How We Use Information

We use the accessed financial data exclusively to:

• Tag transactions with the appropriate donor or grant for reporting
• Generate profit-and-loss reports by project for grant compliance
• Manage our internal accounting workflows

3. Data Sharing

We do not sell, rent, or share financial data with any third parties. Data accessed through our integrations is used only by authorized Kairos staff for the purposes described above.

4. Data Security

We use industry-standard security practices to protect data, including OAuth 2.0 authentication for API access, encrypted connections (TLS), and restricted access limited to authorized personnel.

5. Data Retention

We retain financial data only as long as necessary for accounting, grant reporting, and legal compliance. Access tokens are refreshed automatically and not stored beyond their validity period.

6. Your Rights

Since this integration accesses only Kairos's own organizational data, it does not process personal data of external users. If you have questions about how Kairos handles personal data in other contexts (e.g., program applications), please contact us.
